Administrative Coordinator

The Administrative Coordinator, Whistler Sliding Centre, is responsible for general administrative support to the WSC management team and support of the Safety Management System (SMS).  Responsibilities include event implementation in an outdoor environment, coordination of office expense budget, administering company policies to department, and acting as inter-department administrative liaison.  This role works in conjunction with the Director, WSC, and co-operatively with all WSL venues and departments, ensuring seamless information flow and quality product delivery.  This regular role requires the ability to work some weekends and evenings.

  • Input Digital Action Tracking (DATS) information as assigned
  • Support team to administer WSC SMS tasks as assigned
  • Participate in audit evaluating SMS program performance and compliance ensuring continuous process improvement
  • Coordination of purchase order system, accounts payable, and accounts receivable for WSC
  • Responsible for information flow for WSC events and sales initiatives
  • Assist with event procurement, logistics, and on-site support as assigned
  • Liaise and provide required documentation and information to WSL departments including: Human Resources, Payroll, OH&S, Sales and Marketing, as required and directed
  • Assist with all WSC product development and delivery
  • General administrative duties as directed
  • Assist and attend event, marketing, and sponsorship fulfillment initiatives as requested

  • Assist team with other duties as assigned or required
  • Safety Management System development and delivery experience an asset
  • 3+ years administrative experience required
  • 3+ years Accounts Receivable and Payable experience an asset
  • Experience working with event organizing committees and sport organizations including NSO’s, PSO’s and clubs/organizations
  • Experience volunteering and/or working in a volunteer organization such as a not-for-profit sport organization
  • General knowledge of the sports of Bobsleigh, Luge, Skeleton, and high performance training an asset
  • Understanding and experience delivering event media, public relations, marketing and sponsor fulfillment initiatives
  • Sport or event related post secondary education is a strong asset


  • Ability to communicate clearly and concisely in all media and communication environments
  • Highly developed computer skills including all Microsoft Office suite, website management software, and design software
  • Skilled at developing and manipulating data base and spreadsheet applications
  • Records management and document control experience an asset
  • Competent at managing a variety of social media accounts including performing regular updates
  • Ability to deliver on time in a fast paced project oriented environment
  • Willingness to assist other team members (at times outside of the department) as needed and requested
  • Passion for exceptional customer service is essential
Physical Requirements: 
  • Ability to work outdoors in variable weather conditions
  • Ability to stand for long periods of time
  • Ability to regularly lift 30lbs
